Probes Operations Specialist

The Probes Operations Specialist will report to the Vice President of Operations and, in collaboration with the Probes Operations Manager, will coordinate all order processing activities associated with Probes, from receipt of the customer purchase order to shipping goods and invoicing customers. This position is responsible for the timely and efficient processing of probes orders, as well as assisting the Probe Operations Manager with inventory management, including ordering necessary stock replenishments and maintaining appropriate in-house stock levels based on customer forecasts.

Duties & Responsibilities:

  • First-line telephone and e-mail support for probes customers and suppliers (MS Probes)
  • Uses company ERP to process orders, maintain customer information, and monitor contracts or agreements for expiration or renewal
  • Supply Chain Management, including procurement, shipping and tracking of incoming and outgoing probes
  • Implements scalable business processes and customer service standards to deliver efficient order processing
  • Coordinate with stakeholders to troubleshoot and resolve workflow challenges
  • Provide support to Probes Operations Manager with the management and oversight of probes inventory, utilizing systematic procedures to maintain appropriate stock levels
  • Stock monitoring to assure adherence to strict quality standards for storage and shipping
  • Preparation and reporting of quarterly figures on available and expiring probes
  • Probes customer invoicing
  • Quarterly review with Vice President of Operations and Head of Finance to reconcile customer payments (Accounts Receivable) with outstanding invoices
  • Provide general office support as needed, including answering phones, fulfilling systems orders and/or bookkeeping during vacation, extended absences or high business volume

Required Education & Experience:

  • Bachelor’s degree
  • 3+ years’ experience in related area such as Customer Service, Business Administration, and/or Order Processing
  • Proficiency in Microsoft 365
  • Experience with NetSuite or similar ERP, a plus
